What we are seeking

Zeidler Architecture has an exciting opportunity for a Studio Administrator to join our growing team in Calgary. If you enjoy working within a collaborative and knowledgeable team on an exciting range of projects, we want to meet you!

The Studio Administrator will report of the Office Manager and be responsible for a wide variety of administration and front-of-house duties in support of the Zeidler Architecture studio. The individual will perform reception duties in addition to more complex administrative functions such as preparing documentation, coordinating travel, providing administration support, maintaining the corporate filing system, coordinating office events, and communicating with third party providers and vendors.

This role is based at our downtown Calgary studio and requires the successful candidate to work in the office 5 days per week.

Roles and Responsibilities

Front of house:

  • Act as a brand ambassador by handling reception calls in a professional and timely manner, directing as required 
  • Greeting clients in a professional and timely manner, offering them drinks and seating them in assigned boardroom 
  • Receiving and sending mail / courier packages, organizing couriers and courier statement reconciliation 
  • Maintain cleanliness and organization of boardrooms and communal areas throughout the day, including the kitchen (dishwasher) and print rooms 
  • Continual upkeep of visitor sign-up sheet (checking people in and out of the office) 
  • In conjunction with the Office Manager, order office and kitchen supplies

Administrative Support

  • Assist with new hire onboarding, to include updating staff directories and seating charts 
  • Aid in arranging office events, town hall meetings, and lunch and learns, including travel arrangements and catering.
  • Coordination of domestic travel including flights, hotels and transportation. 
  • Maintaining the office filing system and document retention policies, including assisting accounting with project filing 
  • Provide general administrative support to the marketing and management team

What you will bring

  • Minimum of 5+ years of experience as an Administrative Assistant 
  • Intermediate Microsoft Office skills, with an ability to become familiar with firm-specific programs and software  
  • Ability to manage multiple priorities and deadlines 
  • Excellent written and verbal communication skills
  • Excels in a collaborative team environment 
  • Proficiency in collaboration and delegation of duties  
  • Exceptional interpersonal skills  
  • Friendly and professional demeanor
